Refund Policy – ILMA Digital Academy

1. Overview
ILMA Digital Academy (“IDA”) is committed to student satisfaction and provides this refund policy to ensure transparency in our enrollment and payment processes. This policy applies to our 8-Week Digital Marketing Career Accelerator program offered in both hybrid and classroom formats.
2. Refund Eligibility Criteria
Standard Refund Period
Students may request a full refund if ALL of the following conditions are met:
- Time Limit: Refund request submitted within 7 calendar days of program start date
- Attendance Limit: Student has attended no more than 2 classes (including orientation)
- Content Access: Student has accessed less than 25% of course materials
- Assessment: No assignments or projects have been submitted
- Materials: No physical materials or software licenses have been issued
Partial Refund Eligibility
Students may be eligible for partial refunds under specific circumstances:
- Medical Emergency: Documented medical condition preventing program completion
- Job Relocation: Employment transfer requiring geographic relocation
- Family Emergency: Death or serious illness in immediate family
- Technical Issues: Persistent technical problems on our end preventing course access
3. Non-Refundable Situations
Refunds will NOT be provided in the following circumstances:
- Late Requests: Refund requests submitted after 7 calendar days from program start
- High Engagement: Students who have attended more than 2 classes or accessed 25%+ of materials
- Completed Assessments: Any assignments, projects, or quizzes have been submitted
- Certification Pursuit: Student has requested certification or completion documents
- Course Completion: Student has completed the 8-week program
- Voluntary Withdrawal: Student withdraws for personal convenience after the refund period
- Disciplinary Action: Termination due to violation of terms of service or code of conduct
4. Refund Process
How to Request a Refund
- Written Request: Submit refund request via email to refunds@ilmadigitalacademy.com
- Include Information:
- Full name and student ID
- Enrollment date and batch information
- Reason for refund request
- Supporting documentation (if applicable)
- Response Time: We will acknowledge your request within 48 hours
- Review Period: Refund decisions will be communicated within 5 business days
Required Documentation
Depending on your refund reason, you may need to provide:
- Medical: Doctor’s certificate or medical records
- Relocation: Official transfer letter or job offer
- Emergency: Death certificate, hospital records, or other relevant documents
- Technical: Screenshots or error logs demonstrating persistent issues
5. Refund Processing
Processing Timeline
- Approved Refunds: Processed within 10-15 business days of approval
- Payment Method: Refunds issued to original payment method
- Bank Transfers: 3-5 business days for bank account refunds
- Credit Cards: 5-10 business days depending on card issuer
- Digital Wallets: 1-3 business days for UPI/wallet refunds
Refund Amounts
- Full Refund: 100% of course fees (minus any processing fees where applicable)
- Partial Refund: Calculated based on unused portion of the program
- Processing Fees: Non-refundable transaction fees may be deducted (max ₹500)
6. Partial Refund Calculation
For approved partial refunds due to exceptional circumstances:
- Week 1: 70% refund after deducting materials and setup costs
- Week 2 and beyond: Generally not eligible for refunds
7. Special Circumstances
Medical Emergency
- Required: Medical certificate from registered practitioner
- Timeline: Must be submitted within 15 days of medical incident
- Consideration: Each case reviewed individually based on severity
- Alternative: Course deferral to next batch may be offered
Technical Issues
- Our Responsibility: Full refund if persistent technical problems prevent course access
- Student Responsibility: Issues due to student’s internet, device, or technical setup
- Documentation: Technical support tickets and communication records required
- Resolution Attempts: Must allow reasonable time for issue resolution
Course Cancellation by IDA
- Full Refund: If IDA cancels a batch due to insufficient enrollment
- Rescheduling: Option to transfer to next available batch
- Timeline: Refunds processed within 7 business days
- Additional Compensation: Travel expenses reimbursed if applicable
8. Payment Plan Refunds
Installment Payments
- Paid Installments: Refund calculated based on completed payments only
- Future Installments: Automatically cancelled upon approved refund
- EMI Refunds: Coordination with financing partner required
- Processing Time: May take additional 5-10 business days for EMI refunds
Corporate Sponsorships
- Company Payments: Refunds processed to sponsoring organization
- Documentation: Company authorization required for refund processing
- Tax Implications: Company responsible for any tax adjustments
9. Course Transfer and Deferrals
Alternative to Refunds
Instead of refunds, students may opt for:
- Batch Transfer: Move to next available batch (subject to seat availability)
- Course Credit: Credit towards future IDA programs
- Extended Access: Additional time to complete course materials
Transfer Conditions
- One-Time: Only one transfer permitted per enrollment
- Time Limit: Transfer requests within 30 days of program start
- Fee: Nominal administrative fee of ₹1,000 may apply
- Availability: Subject to seat availability in future batches
10. Dispute Resolution
Internal Review
- First Level: Academic counselor review
- Second Level: Academic director assessment
- Final Level: Management committee decision
- Timeline: Each level has 3 business days for review
External Resolution
If internal resolution is unsatisfactory:
- Consumer Forum: File complaint with appropriate consumer protection authority
- Mediation: Voluntary mediation through agreed mediator
- Legal Action: Subject to jurisdiction of Bangalore courts

12. Policy Updates
Modification Rights
- IDA reserves the right to modify this refund policy
- Changes will be communicated 15 days in advance
- Policy in effect at time of enrollment applies to that student
- Significant changes require individual notification to enrolled students
